Transcribe meetings with AI: Meet, Teams and ChatGPT step by step
How to get a meeting transcript in Google Meet, Microsoft Teams or with ChatGPT’s record mode, where it is saved, who can see it and how to ask for consent first.
Transcribing a meeting saves you taking notes and gives you text you can later summarise with AI. The three most common options are Google Meet transcripts, Microsoft Teams transcripts and ChatGPT’s record mode. None is perfect: always check names, figures and agreements.
First: consent
Recording other people has legal implications. OpenAI explicitly asks you to check local law and get the appropriate consent before recording. In Meet and Teams all participants see a notice when transcription is on, but that doesn’t replace explaining what the text will be used for. More on your rights in GDPR and AI.

It can’t be paused: you stop it and start a new one, and each time a separate file is created. It only captures what is said, not the chat.
Microsoft Teams
- In the meeting controls, open More > Record and transcribe > Start transcription.
- Confirm the spoken language (Spanish (Spain) and Catalan are supported, among many others).
- Afterwards, go to Chat > the meeting chat > Recap > Transcript and download it as .docx or .vtt.
If you record the meeting, transcription starts automatically. Live translated transcription requires Teams Premium. Live transcription is only in Teams for desktop; on mobile you can view it afterwards.
ChatGPT record mode
According to OpenAI, it’s in the ChatGPT app for macOS on Plus, Pro, Business, Enterprise and Edu. You press Record in a chat, can pause, and when you Send, ChatGPT uploads the transcript and creates notes in a canvas. Each session lasts up to 4 hours. It distinguishes several speakers and works best in English; in other languages accuracy “may vary”.
Then: turn the transcript into something useful
Upload the file to your assistant and ask for a summary with decisions and tasks. Don’t paste sensitive personal data (what not to paste).

Can I transcribe with a free Google account?
Meet’s official help says the feature is in certain Google Workspace editions, only on computers, laptops or Android, in languages such as Spanish, English, French, German, Italian or Portuguese.
Who can download the transcript in Teams?
By default the organiser and co-organisers, as .docx or .vtt. People from another organisation can see it live, but not afterwards.
Does ChatGPT train on my recordings?
OpenAI says audio is only used to transcribe and is then deleted. Transcripts and notes may be used for training on Free, Plus and Pro if “Improve the model for everyone” is on.
