AI for admin staff: emails, minutes and spreadsheets
Practical uses of AI in office work: emails with Copilot or Gmail, meeting summaries, Excel formulas and what data never to put into a chatbot.
Administrative work is full of tasks AI does well: drafting, summarising, organising and explaining formulas. The key is to use it as an assistant, with the tools your company allows and without data you shouldn’t share.
4 tasks where you save time from today
- Emails. Replies to suppliers, payment reminders, polite complaints. In Outlook, Draft with Copilot if your licence includes it (Microsoft help); in Gmail, Help me write with a Workspace or Google AI plan (Gmail help). Full guide: emails with AI.
- Minutes and summaries. Paste your notes (without unnecessary personal data) and use this page’s prompt.
- Spreadsheets. Ask it to explain or suggest a formula (XLOOKUP, SUMIFS, pivot tables). See Excel with Copilot.
- Templates and procedures. Turn a process only you know into a step list for a colleague.
What not to do
- Don’t paste ID numbers, payslips, health data, bank accounts or customer data into a personal chatbot (what not to paste).
- Don’t trust figures or dates without checking: OpenAI acknowledges its models can confidently invent facts (hallucinations).
- Don’t send anything you haven’t read in full. You remain responsible.
If your company has no approved AI
Suggest a small use with no personal data (e.g. generic email templates) and ask your manager or data protection officer before using anything else.
Frequently asked questions
Can I use my personal ChatGPT for work documents?
Check your company policy first. With customer or employee data, use only company-approved tools and remove personal data.
Is Copilot in Outlook included in Microsoft 365?
It depends on the licence. Microsoft’s help says that if you can’t access Copilot in Outlook, contact your IT admin.
And Gmail “Help me write”?
Outside the US it requires an eligible Google Workspace or Google AI plan; with a free personal account it’s US-only.
