Self-employed in Spain: AI helps with invoices, it doesn’t issue them

What AI can do with your invoices as a Spanish autónomo (organise, check, draft reminders) and why the legal invoice must come from VERI*FACTU-ready software.

Invoices eat your time. AI helps, with one clear rule: the legal invoice comes from your invoicing software, not from a chat.

Why

The Spanish Tax Agency regulates Invoicing Software Systems and VERI*FACTU (Royal Decree 1007/2023, amended by Royal Decree 254/2025). Its official page reports the extended adaptation deadline, FAQs and a free app of its own. Check dates there: they change, and AI may give you outdated ones.

Where it does save time

  • Checking drafts: spotting empty fields or a total that doesn’t add up.
  • Sorting expenses: turning a list of receipts into a table by category.
  • Payment reminders, kind and firm (emails with AI).
  • Understanding a term in a tax notice before calling your adviser.

Mind the data

Tax IDs, IBANs and client details are personal data. Anonymise them or use an account with proper data controls (what not to paste). AI can be wrong: always check the figures yourself.

Frequently asked questions

Can I make my invoices with ChatGPT?

You can draft text or check drafts, but the AEAT regulates invoicing software (Royal Decree 1007/2023 and VERI*FACTU). A chatbot is not compliant invoicing software.

When is VERI*FACTU mandatory?

Check the Tax Agency’s official page: the adaptation deadline has been extended and the Ministry has announced new forecasts. Don’t trust dates from a chatbot.

Is there a free AEAT app?

Yes, the Tax Agency publishes a guide to its free VERI*FACTU invoicing app on the same page.
